TERMS AND CONDITIONS OF BOOKING (GITES)

PRICES

The prices are per gîte per week for up to the maximum number of persons indicated in the descriptions. The prices include electricity, heating and water charges, except during the Low Season when there is an additional charge.

DEPOSIT

A non refundable deposit of 25% of the total accommodation price is required to confirm the booking. The reservation cannot be held unless the required deposit is received within three days of the date of making the reservation.

PAYMENT OF THE BALANCE

The balance of the total accommodation price is payable no later than 30 days prior to the commencement date of the stay. We are unable to accept credit card payments. Settlement may be made either by cheque drawn on a French bank account or bank transfer.

If the balance is not paid on time, the Proprietors reserve the right to treat the booking as cancelled.

For bookings received less than 30 days prior to the commencement date of the stay, the total accommodation price is payable on confirmation of the booking.

SECURITY DEPOSIT

A security deposit of 300 € is payable at the commencement of the rental. This security deposit will be returned in full within 14 days of departure, subject to deductions made for any damage, breakages or extra cleaning required.

If the cost of any repairs or replacements exceeds the amount of the security deposit, the Guest will be liable for the difference between the security deposit and the total cost.

Any serious abuse of the accommodation or on site amenities will give the Proprietors the right to ask the Guest and his or her party to leave and to treat the booking as cancelled.

ADDITIONAL COSTS

The costs of any additional, sundry items, such as refreshments purchased while on site, are payable on departure.

CANCELLATION

You may only cancel the booking if notice of cancellation is received by letter, fax or E-Mail from the person who made the booking. In these circumstances, the following cancellation charges will be payable:-

• If notice of cancellation is received more than 30 days before the commencement date of the stay, the full amount of the deposit is payable.
• If notice of cancellation is received less than 30 days before the commencement date of the stay, the total accommodation price is payable.

Should the Guest have to terminate the stay earlier than planned, no reimbursement can be offered.

If the Guest does not arrive at the property within 24 hours of the agreed commencement date, and the Proprietors have not been contacted with an explanation, the booking will be deemed to be cancelled. In these circumstances, the total accommodation price is payable.

We recommend that you take out adequate travel insurance to cover the possibility of late cancellation.

SERVICES

Bed linen, towels (except for swimming and gym towels) and tea towels are provided, and replaced on a weekly basis. Washing machines are provided in all gîtes and may be used to launder bed linen and towels as required. Should you require more regular provision of bed linen and towels, these are available at a cost of 8 € per person. Guests must not use towels provided in the bathrooms when using the swimming pool, gym or other on site amenities.

In the High Season (1 April – 30 September), the total accommodation price includes all electricity, heating and water charges. In the Low Season (1 October – 31 March), there is a surcharge of 30 € per week for the provision of electricity, heating and water.

ARRIVAL AND DEPARTURE

The gîte will be ready for occupation from 4.00 pm on the date of arrival and must be vacated by 10.00 am on the date of departure. The Guest is responsible for notifying the Proprietors of any late arrival. For those arriving after 10.00 pm, the Proprietors may be unavailable to offer a greeting. In these circumstances, keys will be left within the door of the gîte.

GUESTS’ RESPONSIBILITIES

The Guest is responsible for ensuring that the gîte is kept clean and tidy, and that rubbish is deposited for refuse collection in the waste bins situated at the roadside close to the property entrance.

Notice of any damage and breakages to the gîte or contents must be notified to the Proprietors immediately and, unless repaired or replaced by the Guest by arrangement with the Proprietors, the cost will be deducted from the security deposit. The Guest will remain liable to pay any balance.

While on site, Guests must not act in a manner likely to cause offence or nuisance (including the playing of loud music) to other Guests.

You will be required to permit the Proprietors and their agents reasonable access to the gîte to carry out urgent repair, maintenance and inspection.

INVENTORY

Each gîte is provided with an inventory of fixtures and contents. Guests should check that all items listed are present and in good order. Subsequent to departure, the gîte inventory will be checked. The cost of any losses or breakages will be deducted from the security deposit.

CLEANING COSTS

A cleaning charge of 55 € is applicable. If any specialist cleaning or cleaning in excess of normal is required, an additional charge will be levied and deducted from the security deposit.

AMENITIES

The Proprietors are not held responsible for:-

• Any loss or inconvenience that may be suffered as a consequence of any unforeseen inability to provide the specified accommodation and/or the on site amenities.
• Any loss or inconvenience that may be suffered as a consequence of any unforeseen breakdown in the supply of any mains services or equipment in the gîtes.
• Any loss or inconvenience that may be suffered as a consequence of any unforeseen breakdown in the pumping/filtration or any other equipment used in the swimming pool.
• Any injury to Guests, or loss or damage to their personal belongings, including cars and contents, arising on site.   Use of the accommodation and the on site amenities is entirely at the Guest’s risk.

Use of the swimming pool and gym is restricted to between the hours of 8.00 am and 10.00 pm.
Domaine de Forest reserves the absolute right to close the pool or gym for any period of time in circumstances where its representatives believe it to be necessary in the interests of health and safety.

High speed WiFi Internet access is available as a free of charge service to Guests. The Proprietors are not held responsible for any loss or inconvenience that may be suffered as a consequence of any unforeseen breakdown in the supply of this service or any difficulty in securing access while on site.

CONCESSIONARY GREEN FEES

Guests of Domaine de Forest are eligible for a 20% discount on the green fees of Golf de la Porcelaine. To receive this discount, Guests should advise the Receptionist on paying the green fees. Under no circumstances can the Proprietors be held responsible in the unlikely event of suspension or cessation of this concession.

BROCHURE AND WEBSITE DETAILS

Whilst every effort has been made to ensure that the details provided are accurate, the representations and descriptions will not give rise to any liability on the part of the Proprietors.

ADDITIONAL PERSON SUPPLEMENT

Each gîte has a normal maximum occupancy level as indicated in the gîte descriptions. When requested, we will make every effort to accommodate larger parties by providing extra beds. There is a supplement of 25 € per night for each additional person.

VISITORS

Access to the accommodation and to the site and its amenities is restricted strictly to Guests as notified in the original booking. Under no circumstances should Guests invite visitors to the site without the prior permission of the Proprietors. A charge of 10 € per day (or part thereof) will be made for visitors to the site. This includes access to on site amenities but does not include overnight accommodation. Unless agreed with the Proprietors in advance, Guest substitution during the course of a stay is not permitted.

CHILDREN

For reasons of health and safety of our Guests, we have to apply certain age restrictions. The nature of the site makes it unsuitable for babies and children under 12 years old. In exceptional circumstances, parties with younger children may be permitted at the discretion of the Proprietors and on the strict understanding that the parents/guardians of young children will maintain an appropriate level of supervision at all times while on site, and that every effort is made to prevent nuisance and annoyance to other Guests. Under no circumstances can children under the age of 16 be admitted to the gym which also incorporates the sauna and jacuzzi. Children under the age of 16 are not permitted to use the swimming pool nor the trampoline without adult supervision.

ANIMALS

While the nature of the site makes it unsuitable for animals, the law prevents the exclusion of animals from our gîtes.  In circumstances where Guests will be accompanied by animals, they must advise the Proprietors in advance.  A supplementary daily charge will be made for each animal accompanying Guests.  Specialist cleaning charges and additional deposits will also be requested.  The amounts will be communicated at the time of booking.  The animals of persons visiting Guests, dangerous animals, or those likely to damage the property and/or create disturbance to other Guests (including disturbance of the peaceful nature of the site) are not permitted on site.  Any damage of the accommodation or on site amenities by an animal, or complaints of disturbance from other Guests, will give the Proprietors the right to ask the Guest and his or her party to leave and to treat the booking as cancelled.

SMOKING

For the convenience and comfort of all our Guests, we operate a strict No Smoking policy within all gîtes and buildings. Smoking is permitted at the Poolside Bar where ashtrays are provided.

PARKING

For the safety, convenience and comfort of all our Guests, the use of motor vehicles on site must be minimised. Parking/waiting is restricted to the designated Car Park except when loading and unloading at the beginning and end of the stay. Visitors with large vehicles and/or trailers should advise the Proprietors in advance of their visit in order to ascertain the availability of parking. The use of recreational motor vehicles, such as quad bikes, is strictly forbidden on site.
